The Cancellation Gap

The Cancellation Gap is written for solo professionals and small appointment-based businesses—therapists, consultants, tutors, hairstylists, and wellness practitioners—who lose time and income to empty slots and want a practical, respectful way to reduce them.

The book opens by examining what an empty slot actually costs in time, preparation, and disrupted workflow. It then explains why clients cancel, identifying forgetfulness as the most fixable cause, and walks through the reasoning behind reminder timing—when to send reminders and how to structure messages that make it easy for clients to confirm or flag a conflict early.

Separate sections address the waitlist as a tool that must be built and maintained before a cancellation arrives, not after. The book also covers the four components of a fair cancellation policy—including notice period and fee structure—and explains how to introduce that policy at the booking stage so clients understand it without friction.

Additional chapters cover how to handle a last-minute cancellation calmly and consistently, when to grant exceptions without undermining the policy, and how automation tools can take over the routine work of sending reminders and managing waitlists. A chapter on professional culture examines how a practitioner's own reliability shapes client behavior over time.

Two appendices complete the book: a set of adaptable reminder message templates and a cancellation policy worksheet. Readers finish with a reminder schedule, a functioning waitlist process, and a written policy ready to use.
